What happens to your information

This notice explains what happens to your information when you send your papers to Verifuse to be read. It’s written in plain English on purpose. If any part of it doesn’t make sense, that’s our fault, not yours — tell us and we’ll fix the wording, not just the meaning.

1Who we are

Verifuse is the trading name of the business that runs this site. It is British owned and run, and we follow UK GDPR.

The company behind it is being formed. The day it is, its registered name, company number and registered address will be published on this page.

When the company is formed, this clause will read in full: “The company responsible for your information is [COMPANY NAME], registered in [COUNTRY OF INCORPORATION] under company number [COMPANY NUMBER], registered office [REGISTERED ADDRESS].”

2What we collect, and why

We do not run advertising trackers or analytics cookies on this site. We don’t need to know how you found us badly enough to watch you to find out.

3Your health information

Papers like these are often full of information about your health. Before anything is read, we ask you to confirm three things, in plain terms:

that your papers contain information about your health, and you agree to us reading it to make your report;
that you understand this is a set of findings from your own papers, and the routes open to you — not legal advice, and not a promise you will win; and
that you want us to start now, and that once reading has started you lose the right to cancel (see Your right to cancel in our Terms and Conditions).

You can withdraw that agreement at any time — see Your rights.

We never use your papers to train any AI model, ours or anyone else’s. The only way that ever changes is the box below, and it is unticked until you tick it.

Keeping some pages to improve the service

Separately, and only if you say yes, you can let us keep a copy of your pages to improve how our reading system works, so it reads better for the next person. It is asked as its own question and saying no costs you nothing at all — your report is exactly the same either way, at exactly the same price.

We remove names, addresses, dates of birth, NHS numbers and reference numbers before your pages go anywhere near that work. Details such as a hospital’s name or the date of a treatment can stay in. We can’t promise a page about your own life could never be recognised by somebody who already knows your story — nobody honestly can. If that matters to you, leave it unticked.

4Your own words are never evidence

Anything you tell us about yourself — in the questions before we start, or in a correction afterwards — is used only to decide what we look at more carefully and how your report is organised. It can never appear in your report as a quotation, and it is never treated as something written on a page of your file. This isn’t just a policy we’re promising to follow: it’s built into the software so it can’t happen by accident. We’d rather the system refuse to run at all than let your own description of your condition get relabelled as if a doctor had written it.

5Who reads your pages

Every page is read by three different AI systems, built by three different companies, so that no single system’s mistake decides what you see — never fewer than two read a page, and your report says how many read each one. A second sweep then goes back over the whole file for anything the first pass missed. They are shown the page images and nothing about your account — not your name as we hold it, not your order, not what you have told us about your situation.

Nobody reads your papers as a matter of routine. The three reading systems see the page images; a named person looks at your report only if a page mentions suicide or self-harm, or if you ask us to check something.

Verifuse tells you plainly, on every page, that AI does the reading — we never disguise it as a person. And because your papers are often legal and medical at once, anything you ask us to check by hand is looked at by that one named person before a revised report goes anywhere near you.

Splitting the reading between unconnected systems and comparing their answers by plain computer code before anything is shown to you is what lets us say a quotation genuinely appears on the page, rather than asking you to take an AI’s word for it. Three different companies reading your page is worth something, but it isn’t proof that their mistakes never overlap, and we won’t claim more than that.

If your file mentions something difficult

Papers like these sometimes contain references to suicide or self-harm. If any page of yours does, your report shows a support panel, above your findings, with contact details we’ve personally checked against each organisation’s own website and dated — never printed from memory. Emergency services (999) are always shown. A named person also looks at your report before it’s sent to you whenever this happens.

6Where your information goes

Because the three reading systems are run by other companies, your page images may be processed on computers outside the UK. Only the page image is sent: never your name, never your order details, and never anything else about you. If you want to know which companies read your pages and where, ask us and we will tell you.

7How long we keep your papers

Everything you send us — your pages, your report and its log — is deleted 120 days after you send it to us. That clock starts the day your papers arrive, not the day your report goes out. It happens on a schedule, not on request: you never have to ask, and nothing waits for anyone to remember.

Two things sit on top of that:

deleting your papers also destroys the key your order was encrypted with, so what is left behind cannot be read by anyone, including us;
if there is a legal reason to keep your papers longer — an ongoing complaint, or a court order — a hold is placed that stops the clock, and destroying your papers is refused outright while that hold is in place. Lifting a hold adds back exactly the number of days it was in place, so a hold can only ever extend your deletion date, never bring it forward.

8Your rights

Because we hold information about you, you have the right to:

See what we hold about you. Given that this is mostly the papers you sent us and your own order details, this should be quick to answer.
Have something put right if it’s wrong. This is different from the correction loop for your report’s findings, which is described in our Terms and Conditions.
Ask us to delete your information, including before the 120 days are up.
Withdraw your consent to us reading information about your health, at any point. If a read is already under way when you do, we stop, and refund whatever part of the job hadn’t been done yet.
Object to, or ask us to restrict, how we use your information.
Ask for your information in a portable format, so you can take it elsewhere.
Complain to the Information Commissioner’s Office, the UK’s data protection regulator, at ico.org.uk, if you think we’ve got something wrong. We’d rather you told us first, so we get the chance to fix it — but it’s entirely your right to go straight to them.

To use any of these rights, contact us through the channel shown on every page of this site. We’ll deal with your request within the time the law allows — currently one month.

9Children

Verifuse is for adults dealing with their own dispute, claim or records. We don’t knowingly collect information from anyone under 18, and this service isn’t aimed at them.

10Keeping your information safe

Your papers are sent to us over an encrypted connection and held encrypted with AES-256 while they are with us. Each order is encrypted with a key of its own, and that key is itself locked by a master key kept outside the order, so destroying the order’s key makes that one order unreadable and touches no other order. Access is kept to the small number of people who need it to run the service, or to look at your file if you’ve raised a correction or a safeguarding concern has been flagged.

There is one thing worth being plain about: while your order is actually being read, the pages are being worked on and are not encrypted in that moment. Sealed orders at rest are.

11Changes to this notice

If we change what we do with your information, we’ll update this notice and the date at the top. If a change is significant, we’ll tell you directly rather than leaving you to notice a changed date.
